How do you keep an org chart up to date automatically?
Generate the chart from a system that already knows the answer. Reporting lines live in your directory or HR system, as the manager field in Microsoft Entra ID or Google Workspace and the supervisor field in BambooHR. An org chart drawn from that data and re-synced on a schedule updates itself when people join, move, or leave.

Why do org charts go out of date?
Because most of them are drawings. A chart built in PowerPoint, Visio, or Lucidchart is a snapshot: right on the day it was exported, drifting from the first reorg after. Updating it is manual work that belongs to nobody in particular, so it happens before the board meeting and rarely in between. The copy people open day to day is usually months old.
Where do reporting lines already live?
Almost every company past a handful of people already maintains reporting data somewhere:
- Microsoft Entra ID has a manager relationship on every user. Outlook and Teams read the same field for their own org views.
- Google Workspace stores a manager relationship on each profile in the Admin console's directory.
- HR systems like BambooHR carry a supervisor field, and it stays accurate because payroll and approvals depend on it.
If one of those is right, the chart can be right, with nobody drawing anything.
What does "automatic" look like in practice?
Three mechanisms, from least to most IT involvement:
- A CSV re-upload. Export from the HR system, upload, and the whole chart refreshes at once. Still a manual step, but it is minutes of work instead of an afternoon of box-dragging, and it needs no IT setup.
- A scheduled pull sync. The chart app reads the directory with its own credential and re-reads it on a schedule. What happens when people join, move, or leave?
With a generated chart, each event is data arriving rather than a drawing task:
- Joiners appear under their manager on the next sync, title and department already filled in.
- Moves redraw the affected branch when the manager field changes. A reorg is one directory edit per person, and the chart follows.
- Leavers drop off when their account is disabled in the source, so nobody who left last quarter is still on the chart.
What if the directory data is wrong?
Then the chart shows it, and that is useful. A wrong manager on a chart everyone looks at gets reported within days, where the same error in a directory nobody browses can sit for years. Fix it in the directory and the fix reaches the chart on the next sync, along with everything else that reads the same field, Outlook and Teams included.
